The question many professionals are asking is no longer whether AI is coming into the workplace, but rather how Administrative Professionals can stay indispensable in the AI era while continuing to grow alongside new technology. The administrative profession has always evolved alongside business. From typewriters to email, from fax machines to Zoom calls where someone is inevitably still on mute (give me a good old rotary phone any day), the most successful Administrative Professionals have consistently adapted to change and found ways to become even more valuable to the organizations they support.


Today, we are entering another major shift with Artificial Intelligence.


Not since the introduction of the internet and email have we seen a new set of skills enter our daily work lives so quickly, and navigating them can be a skill in itself. Many professionals are asking the same question: "Will AI replace my job?" In reality, the better question may be: "How can I use AI to make myself even more indispensable?"


Salesforce CEO Marc Benioff recently commented that AI is helping bring workers "back to higher-value work," allowing employees to focus less on repetitive administrative tasks and more on strategic thinking, relationship management, communication, and decision-making.

That perspective is important because while AI can automate tasks, it cannot replace emotional intelligence, judgment, professionalism, discretion, and human connection - all of which remain core strengths of exceptional Executive Assistants and Administrative Professionals.


As with all new technology, there is certainly a learning curve. But let's be honest, Administrative Professionals have been figuring things out on the fly for years. New software? New executive? Last-minute board meeting moved up three hours? Most seasoned EAs have already mastered adaptability long before AI entered the conversation.


So how can you stay relevant as an Administrative Professional and not only remain valuable, but become the go-to person for navigating this new approach?


1. Learn Which AI Tools Help With Specific Tasks

One of the biggest opportunities for Administrative Professionals is understanding which AI platforms are best suited for certain responsibilities. Executive Assistants wear many hats, and AI tools are rapidly being developed to support nearly every area of the role.

  • Meeting Notes & Follow-Up: Otter.ai, Fireflies.ai, and Microsoft Teams AI tools can summarize meetings and generate action items automatically, including the one person who said, "Can you circle back on that?" six different times.


  • Writing & Communication: ChatGPT, Claude, and Grammarly AI tools can help draft professional correspondence, summarize documents, and organize information efficiently.


Understanding which tools solve which problems can quickly make you an invaluable resource to leadership teams that may still be learning these systems themselves.


2. Become the Person Who Embraces Change

Rather than resisting new systems, learn them.

Administrative Professionals who combine technical knowledge with strong interpersonal skills will continue to stand out in the marketplace.


And remember, nobody expects perfection overnight. Half of learning AI is typing something in, realizing the response makes absolutely no sense, and then figuring out how to ask a better question the second time around.


3. Focus on the Skills AI Cannot Replace

While AI can assist with automation, there are critical areas where human professionals remain irreplaceable.

AI should be viewed as a support tool, not a replacement for human professionalism.

The Administrative Professionals who remain successful over the decades are typically those who never stop evolving. Staying relevant is not about knowing everything immediately. It is about maintaining the mindset that learning is part of long-term career stability.

Just as we survived the painful papercuts and jammed fax machines of years past, those who adapt to new technology will continue to lead the way in the modern workplace.
